Operations & Service Executive

As part of the Operations and Service team, you will support the team with their public education and communications effort. The scope includes:

  • Public Education and Communications
    • Assist in engaging community partners to grow public education network
    • Management of creative agencies
    • Collate and analyse data for public education and communications efforts:
      • Working with the team on design related projects
      • Keeping track of project outcomes and statistics
  • Logistics and Events Coordination
    • Managing the storage, inventory, distribution and reproduction of the collaterals.
    • Assist in updating and maintaining status for collateral distribution, storage and inventory database (currently manual in excel).
    • Handle enquiries and correspondence on generic email for ad hoc request for collaterals, roadshow stations, art exhibits, forum theatre and FV awareness training session.
    • Collate current and historical data on collateral requests.
    • Assist in logistics for programmes, e.g. making calls, sending reminders, arranging for food and beverages, venue, transportation, etc.
    • Liaise with agencies for the payment of the funding applications.
    • Providing administrative support – filing, maintaining records of payment, approvals, claims, etc:
      • Draft specifications for evaluation and contract management
      • Assist with logistical/administrative needs for the programme implementation
      • Do necessary preparation, co-ordination and other logistical liaison for events and campaigns.
      • Assist with roadshows, trainings and forum theatre as needed.

Job requirement:

  • Bachelors related to Marketing, Communications or Business Administration
  • At least 1 year relevant experience in an administrative role
  • Keen interest in marketing communications and events management
  • Outgoing personality with a go getter attitude, able to engage with vendors and partners on an authentic, professional level
  • A team player who is able to creative and able to articulate ideas
  • Meticulous and possesses good interpersonal, written and spoken communication skills, strong sense of initiative and positive attitude
