Working Hours:

8.30am – 6.00pm (Monday to Thursday)

8.30am – 5.30pm (Friday)

 

 

Job Scopes:


To assist the Manager on Records Management matters:

1.     Records Management Audit

       Perform checks on filed records in records management system

       Update folders metadata in records management system

       Create reports with dashboard and statistics on filing rate and behaviour

       Conduct User Briefing and Ground work checks

 

2.     Records Mgt Ops Management


a) Physical Records Management

       Perform necessary admin and data entry to capture records information

       Familiarise with policy and processes to perform necessary actions for records

       Co-ordinate between appointed digitisation vendor and users to digitise physical records within agreed quality and timeframe

       Performed quality checks on digitised records

       Account manage users with all queries on physical records management and digitisation


b) Cabinet Management

       Identify and assign cabinets via system to users

       Account manage users with all queries on cabinet usage and location

       Custodian to office cabinets to ensure they are in good condition and correctly labelled


c) New Tender for Records Management System and Digitisation

       Assist the team to prepare requirements for the new tenders

       Assist on procurement process to ensure tenders are awarded on time

       Organise user engagement sessions

 

Job Requirements:


·      Only Singaporean

·      Min. Diploma;Degree;Degree with Honors

·      Proficient in MS Outlook, Words, Excel, PowerPoint

·      Good with people communication

·      Able to Multi-Task and work in fast pace environment

·      Must be physical fit, as required to carry cartons of paper records

·      Must be an organised person and have eye for details
